Privacy policy

Teacher roster details, coaching priorities, observations, action steps, meeting plans, follow-up notes, focus areas, rubric rows and rubric scores are stored on the device where you use CoachLoop. CoachLoop does not sync these records to other devices.

Sign-in is optional and is used to authorize AI rubric reading. If you choose to create or use an account, your email address and account details are processed by Newly Backend for authentication and account security. If you choose Apple or Google sign-in, that provider shares the account information needed to authenticate you. CoachLoop does not require an account to use its on-device coaching tools.

If you choose to upload a rubric PDF or photo for row extraction, the selected file is sent to the CoachLoop service hosted by Newly and processed by Newly AI. The app uses the response to extract rubric row names and descriptors. The file is not saved in CoachLoop’s app data; the extracted rubric rows and any scores you enter are saved on your device. Do not upload documents you are not authorized to share or that include unnecessary personal information.

CoachLoop uses Newly’s first-party analytics SDK to measure app usage and help understand product performance. Analytics events are sent to Newly. Do not enter teacher or student names or observation details into analytics-specific fields.

Newly receives app usage analytics, and processes account information when you sign in. If you choose Apple or Google sign-in, Apple or Google also processes your authentication request under its own privacy terms. For a rubric you submit for extraction, the file is transmitted to CoachLoop’s Newly-hosted service and processed by Newly AI. Coaching records that you enter and extracted rubric data are not sent to other app users or synced by CoachLoop.

You choose whether to use rubric upload. You can remove a saved rubric in the app. You can remove local coaching records by deleting them in the app where available or removing CoachLoop and its stored data from your device. If you have privacy questions, contact coachingloopapp@gmail.com.
